Pupil information, which includes information supplied by prospective or enrolled pupils and their parents, is collected in connection with pupil application for admission, administration of the Nomination Rights schemes, registration, academic, administrative, alumni liaison, resource planning, research, statistical and marketing purposes for Malvern College Hong Kong (“MCHK”). Pupil records are kept for purposes that include corresponding with, responding to and taking follow-up actions in respect of pupils, contacts and communications activities. The data will be solely handled by MCHK staff but may be disseminated to an authorised third party providing services to MCHK, in relation to the above purposes, other purposes as allowed by MCHK or as required by the law from time to time. These third parties include organisations such as local and overseas educational institutions, examination authorities and government authorities in HKSAR and abroad.
Employment information, which includes personal particulars, curriculum vitae, background checks, details of compensation and benefits, performance appraisals, references, background checks and disciplinary matters relating to job applicants, employees and former employees of MCHK. Personnel records of employees are kept for human resource management purposes, relating to matters such as employees’ terms of employment, performance appraisal, providing references, professional development, discipline and termination.
Administrative records, which include administration and other files, contain personal data provided to MCHK by individuals for purposes other than those connected with pupils, parents or employment, such as and not limited to enquiries from the public and media, suppliers, service providers and contractors. Administrative records are kept to enable MCHK to carry out various functions and activities which vary according to the nature of the purpose for which such records are to be used, including the operation of MCHK functions and activities, seeking advice on operational matters, undertaking communications and training activities organised by, or on behalf of, MCHK, including the acquisition of services and handling of enquiries from members of the public.
MCHK will take photographs, audio and video recordings of pupils, parents, staff and participants within the school premises and at school related events. MCHK will use the materials to enable MCHK, the school community and members of the public to have a better understanding of how pupils are learning, and for the purpose of promoting MCHK activities. This may include placing materials in MCHK publications, on our website and in our promotional materials. In addition, MCHK may also place such materials on third party websites and social media platforms such as Facebook which allow for other third parties to display or embed such materials from these websites onto any other website.
